About the Role
As an Executive Assistant, you will provide timely and proactive administrative support to the Houzz Leadership Team. Not only will you assist in executing complex and sensitive projects on behalf of leaders, but you will also own assignments from end to end. If you have a passion for organizing and managing workday schedules, travel calendars, and key communications in a fast-paced, dynamic environment, then Houzz might be your next home! This role is located in Irvine and reports to VP of Marketplace, Lisa Rambo.
What You'll Do
  • Act as a liaison between internal team members at all levels and across all offices and work cross functionally with various departments in the company
  • Arrange and coordinate meetings, conference calls, events, travel, etc.
  • Anticipate and assemble information and data packages for meetings, business travel and other department and company events, preparing and/or adding finishing touches & polish to documents and other material as needed.
  • Provide administrative support as required including copying, scanning, filing, paperwork/document preparation, expense reporting and special projects
  • Complete projects and tasks accurately and efficiently and ask for help when needed
  • Take initiative to identify improvements to office and team operations and recommend improvements accordingly
  • Run errands for business or personal needs as needed
  • Proactive and assertive calendar management including gatekeeping, meeting preparation and document preparation for key leaders
  • Help to drive weekly executive team meeting agenda and capture major takeaways and ensure appropriate follow-up
  • Handle sensitive business and confidential information with discretion, tact, and diplomacy
  • At a Minimum, We’d Like You to Have
  • 2+ years of experience in a PA/EA capacity
  • Prior experience working with C-level execs and VPs
  • Mastery of Google applications (Docs, Sheets, Calendar, etc.)
  • Eagerness to step outside your typical job description and be resourceful to get things done
  • Ability to determine priorities and make decisions
  • Superior verbal and written communication skills
  • Strong reporting and organization skills
  • 6 months in current position required
  • Must be in good standing in current position
  • Ideally, You'll Also Have
  • Experience in a fast-paced tech environment is a plus
  • Ability to work independently without much direction or guidance while also being a strong team player
