Houzz is looking for a full-time, energetic Office Assistant who is a natural self-starter with strong organisational skills and thrives in a busy, fast-paced environment. The ideal candidate will have a strong grasp of facilities management as well as computer software and technology, but also enjoy interacting with co-workers, vendors and outside guests. The successful candidate must have the ability to recognise and meet the needs of the office team, work in a professional manner, and multi-task between several projects while maintaining a cheerful and fun attitude (don’t sweat the small stuff or take yourself too seriously). The Office Assistant will support our growing company through a blend of operations, administration, and special projects, in addition to providing support to the management team both locally and internationally.
Our Tokyo office is located in Shibuya and is a modern, comfortable environment, with a well-stocked kitchen to keep you energised, plenty of areas for collaboration and overlooks a beautiful garden! 

Join a fast-growing technology organisation, where you will play a key part in the day-to day operations of the Houzz Japan office.
Responsibilities include:
  • Ensure that the office runs smoothly on a daily basis by supporting all office functions in a fast-paced environment
  • Plan and execute team and office-wide meetings, relocations, ad-hoc tasks
  • Basic bookkeeping and management of company recurring office expenses
  • Control and manage building and office access as well as safety system
  • Develop and maintain vendor relationships, manage vendors and service providers, and take ownership of sourcing various office resources
  • Integrate new employees with necessary equipment, computer software and other requested peripherals.
  • Manage shipments, orders, inventories, and deliveries including office supplies, furniture, groceries, and computer related equipment
  • Organise multiple office wide meals each week, sourcing new ideas regularly
  • Maintain asset management system and track software licenses and purchases
  • Ensure that janitorial services are meeting standards and report any deficiencies on a daily basis to the landlord or janitorial services provider
  • Act as primary contact for IT operations and telecommunication functions
  • Organise fun team events, birthdays and festive holiday celebrations
  • Requirements & preferences for this position include:
  • 2+ years of experience in a corporate IT/Operations environment, including significant cross-functional project management experience
  • Must have excellent communication skills and ability to present to senior management
  • Fluently bilingual in Japanese and English (able to assist/check translations in either language)
  • Precision and detail oriented with strong analytical skills
  • Proven ability to identify and drive process and system improvements
  • Positive, energetic, optimistic attitude, not afraid to roll up your sleeves
  • Team player with strong interpersonal skills including conscientiousness, diplomacy, flexibility, dependability, and, last but not least, a good sense of humour.
