Xnext is a young and booming industry, that has developed an innovative technology for quality control based on a multispectral X-ray analysis.We are looking for a Receptionist/Office Assistant to be responsible for greeting clients and visitors to our office, answering phone calls and taking messages, assisting colleagues and managers with administrative tasks.
Your tasks:
• Greet clients and visitors with a positive, helpful attitude, assisting them in finding their way around the office;
• Maintain workplace security by issuing, checking and collecting badges and filling in visitor’s logs;
• Prepare and book meeting rooms;
• Answer and forward appropriately phone calls in a professional manner;
• Assist colleagues with a variety of administrative tasks, including copying, faxing, preparing presentations, sending and distributing mail;
• Prepare expense notes;
• Book travel tickets and hotel accommodations for the team;
• Manage executives’ calendars;
• Support top management during meetings;
• Keep up with office supply inventory, purchase stationery and other office products, as well as maintain the office in a proper condition and arrange necessary repairs.
Your profile:
• Highly self-motivated candidate with minimum of 3 years’ experience as Receptionist/Office Assistant in a fast-paced environment;
• Consistent, professional dress and manners;
• Proven ability to handle confidential information with discretion;
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Microsoft Outlook;
• Good time management skills;
• Fluency in English and Italian (spoken and written). An additional language is a plus;
• Ability to contribute positively as part of the team, helping out with various tasks as required;
• Proactive approach to problem-solving and creative mind with an ability to suggest improvements;
• Strong capabilities to perform and prioritise multiple tasks with excellent attention to details.
