About the position


We are looking for an Office Manager who is excited to manage our office in the UK as well as be the Executive Assistant of our local leadership.  This is an opportunity to make an impact on the day-to-day operations as well as help establish our Showpad company culture for the London office. You will report to the Sr Office Manager, who is based in the global HQ, Ghent (Belgium).


In this role, you will be responsible to keep local employees happy and the workplace running smoothly.



Key responsibilities as a Office manager UK/Executive Assistant MD UK & Nordics


  • Own the employee workplace experience including providing world-class support for all office-related needs.

  • Ensure daily activities run smoothly, cultivating a productive and welcoming work space.
  • Interface with the building’s property management as well as all of our office service vendors to keep the office in pristine condition at all times (electricity, cleaning, maintenance, etc.)
  • Manage all internal events such as happy hours, company celebrations, team building, etc.
  • Maintain/create relationships with food/beverage, supply and other service vendors and manage spend to ensure that we are getting the best value from our vendors.
  • Maintain all workplace safety programs and document operational processes, policies, controls for the business
  • Close follow up on growth of headcount and expansion of the office
  • Supervise Clean Desk/Office Principle and take ownership for improvements
  • Welcome guests & (new) employees to the London office (customers, candidates, partners, etc.)
  • Handle any phone calls that come to the reception. Transfer when necessary.
  • Booking travel for all UK Employees
  • Be the central go-to-person for any questions of our Showpad Employees
  • Provide high‐level administrative support to the local leadership team: mail & calendar management, taking into account different time zones.
  • Organize personal and shared folders and keep track of the most recent board information, budget documentation and management meeting presentations.
  • Follow‐up on important professional deadlines and private events and proactively remind the leadership team.
  • Track and help drive completion of key deliverable and follow‐up on outstanding items.
  • Ensure Powerpoint presentations are impactful with perfect spelling, layout and visuals


Skills and Qualifications we are looking for


  • At least 5 years experience in office management, general administration, or facilities operations and 3 years of experience assisting field senior level executives in a fast‐paced environment
  • Detail‐oriented with excellent time management and organizational skills
  • Service oriented: can-do attitude, welcoming, considerate, resourceful, tech-savvy and quick on your feet with a strong sense of ensuring that all employees and guests have a positive experience at the office.
  • High levels of integrity and discretion in handling confidential information
  • Proficiency in a fast paced digital environment (PowerPoint, Word, Excel, Social media, Google mail and Calendar)
  • Hands-on mentality
  • Embodies the attitude that no task is too small if it aids in the improvement of the company and morale
  • Excellent troubleshooting & problem solving
  • Enjoy working in a dynamic and continuously changing work environment
  • Experience managing budgets, saving costs, and researching better solutions.
  • Cross collaboration and communication with different teams and office
