C-level temp contract position for maternity leave coverage (current EA/PA will train temp).

What You’ll Do
  • Proactively manage Executive's schedule, coordinating business and personal appointments, anticipating the level of flexibility required.
  • Closely manage on a daily basis household staff, planning their weekly schedules and coordinate family activities across all areas (transportation, child care coverage, household supplies and maintenance, etc). Follow up with staff and make any plan adjustments necessary in real-time.
  • Organize meetings as and when required; coordinate complex and ever-changing schedules across company; and assure the appropriate video conference/presentations/dial-in bridge/other technology is chosen and set up for the meeting.
  • Arrange heavy personal and business travel and accommodations for Executive and family; booking flights, hotels, transfers, preparation for speaking engagements and arrange appointments with business partners based internationally.
  • Deal with private and confidential information on a daily basis, remaining professional and approachable at all times.
  • Follow up with various large and small projects on behalf of Executive for both personal and business.
  • Regular office hours, but 24/7 accessibility needed.
  • At a Minimum, We’d Like You to Have
  • The ideal candidate will be an Executive/Personal Assistant, preferably for a C-level executive, experienced in managing an executive's estate and personal matters.
  • The most suitable candidates will see the personal support as a great attraction and will increase their interest in the role.
  • Extremely professional, efficient, service oriented and a self-starter willing to wear many hats.
  • This person should have excellent taste, a keen eye for details, a positive attitude, and stellar time-management skills.
  • Administrative pro with strong communication skills.
  • The right candidate should be able to figure things out on their own quickly, but not be afraid to ask executive for additional context/clarity to make sure they are on the same page.
